The Fonds includes records which document the business and operational history of the Friars and consists of both business records and ephemeral items which include printed matter (letterhead, invitations, programmes, tickets, etc), scrapbooks, newspaper clippings, photographs, albums, a wooden guestbook, and party souvenirs, including a cookbook and assorted glassware.

In addition the Administrative files include records donated by Allan Wachowich. These records document Wachowich’s relationship and contribution to the Friars’ between 1970 and 1975.

Additional large three-dimensional objects related to the Friars can also be found in the basement of the PAO in the Friars’ room.

The Fonds is arranged into the following two series:

1. Administrative Records (1970-2008)
2. Printed Materials and Ephemera (1970-2013)

The series includes meeting minutes, planning records, some financial records and correspondence arranged in chronological order. Where an executive roster exists, it is filed first, financial statement is last. The series also includes a separate file of (most) financial statements (see file 1-39). The file is dated by the date of the annual Friars event in the spring. Therefore planning meetings held in the fall of the previous year are filed with the records from the annual event (eg. Oct 1989 are in the file for Friars 1990).

Please note the following gaps: administrative records from 2009 and 2010, there are also significant gaps from 2011 to the present.

The series includes a variety of printed materials, artifacts and other ephemera including, but not limited to letterhead, event tickets, raffle tickets, parking information, Christmas cards, silent auction lists, and advertising posters. Note that letterhead lists members of the Friars’ executive for any given year. The earliest materials (invitations, pamphlets, etc.) are housed in albums. Most annual program includes the names of all guests who attended the previous event. Annual programs also include the names of the members of the executive.

The series also includes scrapbooks, photographs, guestbook, and samples of party favours/souvenirs from Friars’ Ball: cookbook, assorted glassware.
