The Alberta Papal Visit Secretariat (hereafter The Secretariat) was formally established in the fall of 1983 after the announcement of Pope John Paul’s II Canadian visit in September 1984. The goal of the Secretariat was to organize, coordinate and implement Pope John Paul’s II Alberta Visit. It was incorporated under the Companies Act of the Province of Alberta as a limited company on November 17th, 1983. W. Paul Lefaivre, Jack Chesney, Ivan Radostits, and W. Roy Watson each purchased a share in the corporation, and were appointed its first directors, with Roy Watson as President.
From September, 1983, until just after the Papal Visit, in September, 1984, the Secretariat operated out of space at 10123 - 99 Street in Edmonton. From September, until the closure of the Secretariat, what business that remained was conducted out of the chancery offices adjacent to St. Joseph Basilica, 10013 – 113 Street.
The Secretariat submitted its incorporation papers to terminate its formal existence on February 12th, 1985.

The above was processed from the original unsorted documents left in the Archdiocesan Archives, which were about 2.5 metres worth of documents in five bankers’ boxes. Documents pertaining to the general Canadian tour of the pope, and dealing with the Canadian Conference of Catholic Bishops (CCCB), as opposed to the Edmonton visit, were removed as they will be preserved in the CCCB archives. Duplicated documents were greatly decreased in number, though the partial preservation of the original filing system does not ensure the total eradication of excess copes. Receipts and other primary financial source documents were mostly removed as well, though the final auditing report, correspondence, and various interim reports remain as a sample of the now-dated costs.
Sacramentary and other miscellaneous publications were transferred over to the reference library

The fonds consists of operational, administrative and business records which document activities of The Secretariat and its associations with other committees and entities associated with the planning and implementation of the Papal Visit.
The fonds includes meeting minutes, reports, budgets, correspondence, guidelines, policies, financial records, pamphlets, information files, reference materials, photographs, albums and ephemera materials. Furthermore, the fonds also includes Preliminary Policy Meeting Minutes which can be found in series four.
The fonds is arranged into the following 13 series:

After the closure of the Secretariat in February, 1985, the Archdiocese of Edmonton received the records. It is probable that once these records were received at the Archives, correspondence from Archbishop J.N. MacNeil’s files in the Chancery was added to the fonds. A few documents relevant to the Papal Visit have been added since the Secretariat ceased to exist.

There is no document pertaining to a formal transfer of the records by the secretariat to the archives. In a conversation with Wayne Provencal, Financial Administrator of the Catholic Archdiocese of Edmonton (CAEDM) on September 12, 2019, the financial transactions of the secretariat were all done at CAEDM so it can be assumed that the records are now owned by CAEDM.
